Privacy Policy

This Privacy Policy explains how GuideOS, operated by Garzilla Guide Service ("GuideOS," "we," "us"), collects, uses, and protects information when you use our booking-calendar service (the "Service").

1. Information we collect

Account information

When you sign up we collect your name or company name, email address, and the login you create. If you subscribe, our payment processor collects your payment details (we do not store full card numbers — see "Payments" below).

Bookeo connection

To provide the Service, you connect your Bookeo account by giving us a Bookeo API key. We store that key in encrypted form and use it only to read your tours and to block or unblock dates at your request.

Booking information

When you or your guides view a booked day, we retrieve booking details from Bookeo — which can include a customer's name, phone number, email, party size, and amount paid or owed. This information is displayed to the authorized guide and is handled on your behalf. You choose which of these fields are shown, in your settings.

Guide access

For each guide you add, we store the name you enter, the tour they are assigned to, and the link and 4-digit code that lets them sign in.

Usage and technical data

Like most online services, our providers automatically log basic technical data such as IP address, browser type, and timestamps, used to operate and secure the Service.

2. How we use information

• To provide, maintain, and improve the Service;
• To connect to Bookeo and carry out the blocking, unblocking, and viewing you request;
• To process subscriptions and payments;
• To communicate with you about your account, security, and support;
• To protect the Service and comply with legal obligations.

We do notsell your personal information or your customers' information, and we do not use booking data for advertising.

3. Your role and your customers' data

Booking and customer information belongs to you (the outfitter). GuideOS acts as a processor of that information on your behalf, to display it to your authorized guides. You are responsible for handling your customers' information lawfully and for any notices or consents your customers require.

4. Payments

Payments are processed by Stripe. Your card details are provided directly to Stripe and are handled under Stripe's privacy policy. We receive limited information such as your subscription status, plan, and the last digits and brand of your card — never the full card number.

5. Service providers we use

We share information only with providers that help us run the Service, including:

• Bookeo — the calendar system we integrate with;
• Stripe — payment processing;
• Supabase — database, authentication, and file storage;
• Vercel — application hosting.

These providers may process data only to provide services to us and are bound by their own privacy and security commitments. We may also disclose information if required by law or to protect our rights, users, or the public.

6. Data security

We use reasonable measures to protect your information, including encryption of your Bookeo API key, encrypted connections, and access controls that limit each guide to their own tour. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.

7. Data retention

We keep account and connection information for as long as your account is active. Booking details are retrieved from Bookeo as needed and are not intended to be stored long-term by GuideOS. If you close your account or disconnect Bookeo, we delete or de-identify your information within a reasonable period, except where we must keep records to comply with law or resolve disputes.

8. Your choices and rights

• You can disconnect Bookeo at any time, which stops us from accessing your calendar.
• You can remove guide links and codes at any time.
• You can request access to, correction of, or deletion of your personal information by contacting us. Depending on where you live, you may have additional rights under applicable privacy laws.

9. Children

The Service is intended for businesses and is not directed to children under 13. We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the date above and, where appropriate, notify you.
